How to Photograph Handwriting for Engraving

The clearest handwriting photo is flat, evenly lit, square to the camera and complete around every letter. A phone is usually enough. The important part is preserving the small details that make the writing recognisable: the tail of a “y,” the uneven space between words, or the pressure change in an old recipe.

Before uploading, check the image against these five points. If one fails, retake the photo rather than trying to rescue it with a heavy filter.

How to photograph handwriting with a phone

  1. Remove reflections. If the paper can be handled safely, take it out of a frame or glossy sleeve. Never risk damaging a fragile original.
  2. Choose a simple surface. Place the page flat near a window with indirect daylight. Turn off a nearby lamp if it creates a second colour or hard shadow.
  3. Hold the phone parallel. Centre the sample in the frame and keep all four page edges as even as possible. A tilted phone introduces perspective distortion.
  4. Focus on the writing. Tap the letters on screen, hold still and take several versions. Skip portrait mode, beauty filters and dramatic contrast presets.
  5. Send one wide and one close image. The wide view preserves context; the close view preserves fine strokes. Keep the original files rather than screenshots of them.

Do not edit away the person

Clean does not mean corrected. A misspelling, wandering baseline or unusually large capital may be the part everyone recognises. Decide what should remain before anyone traces or tidies the sample.

Basic rotation and a light crop are fine, provided no mark is clipped. Avoid drawing over faint letters, sharpening until the strokes look jagged, or erasing ruled lines so closely that the handwriting changes. If a correction is important, include a note explaining it instead of silently altering the source.

Frequently asked questions

Can I use a phone photo instead of a scan?

Yes. A sharp, straight-on phone photo in even light can be more useful than a low-resolution scan. Send the original file, not a compressed screenshot.

Should I convert the image to black and white?

Usually not. Keep the original colour photo unless the product instructions request something else. It gives the artwork team more information about faded strokes, stains and paper texture.

What if I only have a photo of the person holding the note?

Use the highest-resolution original and crop loosely around the writing, but expect limitations if fingers cover letters, the page is angled or the focus is on the person rather than the note. Ask before placing the order if the source is irreplaceable.
